Can I change my email address?

You are able to change your email address by completing the form within govdex. Please see Change my Email Address for further information.

Do you offer phone support?

We are a small team and are unable to provide phone support at this time. Please see the information on this site or contact us via our online form for assistance with govdex.

How do I join govdex?

govdex communities are closed communities and membership is by invitation only. You will need to be invited into a community by its administrator.

What is the cost of govdex?

There are no costs for using govdex.

Is training available for govdex?

Do I need to be a government employee to use govdex?

Although govdex is a government owned and managed product, it is not exclusive to government employees. The only exclusion is that non government users or users without an email address ending in .gov.au are unable to apply for a govdex community.

What classification is govdex able to hold?

govdex is an UNCLASSIFIED (DLM) accredited system.  govdex is suitable for holding unclassified official information not intended for public release including unclassified DLM-marked information, i.e. For Official Use Only (FOUO), Sensitive, Sensitive: Legal or Sensitive: Personal.  Classified information must not be held on govdex.

Agencies (via their Community Administrators) are responsible for ensuring that information published on their community is labelled and handled in accordance with the Australian Government’s Protective Security Policy Framework (PSPF) and does not exceed the security rating of govdex.

What is the attachment size limit for govdex?

Each individual file must be under 29MB. However, there is no limit to the number of attachments that can be stored on a govdex community.

Is there a size limit for my entire community?

There is no size limit for communities.

I want to see what content or communities are on govdex

govdex communities are closed communities and membership is by invitation only. You will need to be invited into a community by its administrator. The govdex support team is unable to release the names or contact details of any community administrators.

Who has access to my community?

govdex communities are closed communities and membership is only by invitation. Only people who an administrator has sent an invitation to can access the community.

I need access to a particular group, project or community

You’ll need to talk to the person who informed you of the community. This person’s likely to be the community administrator and will be able to give you access directly.  If you were informed of the community by a colleague who has access they will be able to reference the communities contacts page which should contain the administrators contact details.

Someone told me about documents on govdex that I need access to

You will need to talk to the person who has told you about the documents. They will be able to provide you with  contact information for the community administrator who will be able to give you access.

How do I reset my password?

Use the password reset feature of govdex. Once you receive the reset email and change your password, you will have access to your communities again.

I have an account but I forgot my username?

If you do not remember your username, you can log into govdex using the email address linked to your govdex account. Alternatively, you may contact the govdex Support Centre via our Contact us page.

I’m not sure if I have an account

Use the password reset feature of govdex. If you don’t receive an email, you probably don’t have an account. Contact the community that you would like access to to have a new account created for you.

How do I change my username?

Due to system limitations we are unable to change usernames.

How do I change my community key?

Due to system limitations we are unable to change community keys. The community name displayed on the community home page is able to be changed within the Space Admin interface.

How do I mention people?

You can mention other members of your community by typing @User’s Name. Please note: Mentions are locked down to communities.

When I mention someone does it link to twitter?

Your mentions are secure within govdex and more specifically your community. There are no external links.

When I ‘Like’ a page does it link to Facebook?

Your ‘Like’s are secure within govdex.  By hitting the like button you are showing the other members of their community what they might also be interested and developing popular content. There are no external links from this function.

I no longer require my community, how do I delete it?

To delete your community please submit a request to the govdex support team.

Does my govdex account expire?

Your govdex account will be made inactive after 180 days without logging in or if you account has no group memberships. You can reactivate your account by resetting your password.

Does my govdex password expire?

Your govdex password will expire after 90 days. You will be prompted to change your password at this time.

How do I change my notifications?

You have the ability to turn off any notification emails that you receive from govdex. To do this go to your profile icon in the top right hand corner of your Dashboard. Select Settings  from the drop down menu. Select Email from the left hand side menu. Here you will be able to edit the email notifications you receive.

Can I change my community details on the Manage Community Membership page?

Due to system limitations we are unable to change the community information that appears at the top of each Manage Community Membership page.  This is a historical copy of the information included on the original community application. However, this information has no influence over your community. For example, if you initially anticipated 50 participants and this has now increased, govdex will not prevent you from inviting more than 50 members to your community.

What do I do when moving Departments or changing roles?

If you are moving roles and need to update your email address, you are able to change your email address by completing a form within govdex. This process involves Community Administrators re-inviting you to the communities where you still require access. Please see Change my Email Address for further information.

If you do not need to update your email address but feel you no longer require access to a particular community, you should contact the Community Administrator and request that you be removed as a member of that community. If you are unsure of the name or contact details for a Community Administrator, please see Find my Administrators for further information.

If you are a Community Administrator for a community that you will no longer be responsible for, you should arrange for the new Community Administrator/s to be added to the administrator user group (e.g., communitykey_admin) prior to removing yourself as a member and administrator. Please see Invite or Remove Members (including administrators) for further information.
TIP: Make sure you remove yourself as a member first and Community Administrator second. Alternatively, you may ask another Community Administrator to remove all of your access to that particular community.

Can group email addresses be used when establishing govdex user accounts?

Group email addresses should not be used when establishing govdex user accounts. Individual email addresses must be used to ensure compliance with the following requirements (as outlined in the govdex Terms of Use):

  • You must keep your govdex username and password secure at all times; and,
  • You must not permit any other person to use your username and password.

Is govdex closing?

There are no plans to close govdex. The Department of Finance has a project underway to modernise and improve our product. More information will be provided as it becomes available.

What should I do if Classified information is mistakenly added to govdex?

govdex is an UNCLASSIFIED (DLM) accredited system. Classified information must not be held on govdex. In the event that Classified information is mistakenly added to govdex, the following steps should be taken:

  • Remove the information from govdex immediately. This includes purging information from the Trash (via Space Admin page).
  • Record the date, time and location of the information as well as the type of official resources involved. If information is uploaded as an attachment, record the exact title of the attachment.
  • Advise the Department of Finance of the incident immediately. An email should be sent to OSBSecurity@finance.gov.au including all recorded incident information, as well as contact details for follow up.
  • Follow your Agency’s relevant security policy.

Agencies (via their Community Administrators) are responsible for ensuring that information published on their community is labelled and handled in accordance with the Australian Government’s Protective Security Policy Framework (PSPF) and does not exceed the security rating of govdex. Community administrator should review their community content regularly.

How would a Request for Information be handled?

The Department of Finance (Finance), being responsible for the administration of the govdex platform, does not have possession of the documents stored within govdex unless Finance is a member of the relevant govdex community and downloads the documents onto the Finance system. Any request for information made to Finance will be processed in accordance with the Freedom of Information Act 1982, including consultation and/or transfer when appropriate. The response to each Request for Information will depend on the relevant facts and circumstances of each case.
